Roles & Organizations
Understanding organizations, companies, and permission levels
Organizations
An organization is your team's workspace in HireFlow. All your jobs, candidates, labels, and settings are scoped to it, and data never crosses between organizations.
If you work across more than one organization (for example, you consult for several agencies), use the organization switcher in the top nav to move between them.
Companies
Within an organization, you can manage multiple companies: the clients or business units you're hiring for. Each job belongs to a company, so you can keep, say, three clients' open roles clearly separated while your team works out of one shared organization.
Roles
Every teammate in an organization has one role, which controls what they can see and do:
| Role | Typical use |
|---|---|
| Owner | Full control, including billing and org deletion |
| Admin | Full control over settings, users, and jobs |
| Hiring Manager | Manages jobs/pipelines for their roles; some admin-adjacent actions |
| Recruiter | Day-to-day work: candidates, pipeline moves, comments |
| Member | Basic collaboration: view and comment, more limited editing |
A few actions are restricted to Owner / Admin / Hiring Manager, for example reverting a job's pipeline back to the organization's default template. If something looks locked or missing, it's usually a role restriction rather than a bug, so ask an org admin.
